Track Facebook ads to bookings in Cliniko

Facebook tells you how many people filled in your form. Cliniko knows who actually booked. Here is how to connect the two, so you can see which ads brought in patients and which only brought in clicks.

The problem

Facebook counts leads. Your Cliniko diary counts patients.

Meta reports a lead the moment someone submits a form or clicks through. It never finds out whether that person booked, turned up or came back. Cliniko holds all of that, but it has no idea which ad the person saw.

Most clinics bridge the gap by hand: a spreadsheet, a question at the front desk, or a guess. That is slow, and people forget to ask. The answer is to match the two systems automatically, and that is what Octavise does.

How the matching works

Three ways a Facebook lead gets matched to a Cliniko booking.

1

Lead forms: phone or email

When someone fills in a Facebook or Instagram lead form, Octavise matches that lead to the patient it becomes in Cliniko. A lead that never books stops counting as a result.

2

Tracking links: the click

For ads that send people to your online booking page, you use an Octavise tracking link on the ad. It notes which ad was clicked, and Octavise matches that click to the booking that follows.

3

Updated every night

You connect Cliniko and Meta once, with read-only access. Every night Octavise refreshes the matches inside its own system. Nothing is written back to Cliniko and nothing is sent to Meta.

What you see

Booked patients per campaign, not just leads.

For each Meta campaign and ad you see leads, bookings and new patients side by side, with a plain verdict: paying back, marginal, losing money, or no bookings. Each patient shows how they were matched, so you can trust the number.

A campaign that spent money and booked nobody is flagged, so you can stop spending on it. The figures update every night, and a summary arrives by email on Monday morning.

Your patients' privacy

Read-only, stored in Sydney, nothing sent back to Meta.

Octavise never stores patients' contact details or clinical records. Phone numbers and emails are turned into one-way fingerprints when they arrive, and your data is stored in Sydney. Octavise cannot change a booking, a campaign or a budget.

Nothing is sent back to Meta or Google. The matching happens inside Octavise, so no booking outcomes or patient details leave it.

“I knew my numbers and my ads were the key to growing my clinic, but the manual entry was a nightmare, and I could only ever guess how many bookings my ads produced. Now within seconds Octavise tells me if my business is growing, what to focus on, and how many bookings my ads bring in.”

Questions

Common questions

How do you track Facebook ads to bookings in Cliniko?

You connect Cliniko and Meta once, with read-only access. Octavise then matches each Facebook lead and each tracked ad click to the booking it turned into in Cliniko, and the dashboard shows which campaigns booked patients. The matching happens inside Octavise; nothing is sent back to Meta.

How many of my Facebook leads actually booked?

Octavise matches each Meta lead to the booking it turned into in your practice system, so a lead that never booked stops counting as a result. The dashboard shows leads, bookings and new patients side by side for every campaign.

Do you send anything back to Google or Meta?

No. Matching happens inside Octavise. No booking outcomes or patient details are sent back to Google or Meta.
